How to use this template
Identify overdue invoices

Log customer contact
Record each collection contact: date, person contacted, method (phone/email/letter), message left, and promised payment date.
Document reason for non-payment
Note reason customer hasn't paid: dispute/quality issue, cash flow issue, administrative error, statement mismatch, missing invoice.
Escalate as needed
Move invoices through collection stages: 1st reminder, 2nd notice, phone call, escalation to customer management, legal action if necessary.
Track resolution
Record payment received, partial payment, or write-off decision. Close invoice from collections list once resolved.
